Hotel self check-in: link, smart lock or kiosk?

Self check-in has three routes with very different costs: pre-check-in via link (nearly free), smart lock with reservation code (per-door investment), and lobby kiosk (for high volume). All comply with Brazil's guest registration law, but the first solves 80% of the problem for most inns.

What is self check-in (and why guests like it)?

Self check-in is the guest entry process without a receptionist — whether via a link they fill before arrival, a password that opens the door, or a kiosk that registers arrival. Guests like it because they enter without waiting; you win because you save receptionist time and cut lines.

What are the three possible routes?

The first route handles 80% of the work with 10% of the cost. Second is for a differentiator. Third is for scale.

What does the law require even without a receptionist?

Brazil's guest registration system (required since April 20, 2026 by Cadastur) needs identity data for each guest — doesn't matter how they enter. Link, smart lock, or kiosk: all must collect name, ID, nationality, origin/destination, dates. Who collects hasn't changed: it's you, the owner or manager. What changed is the when: if you collect before arrival (pre-check-in), entry runs free. If you collect at arrival with clipboard or kiosk, it's the same as the old way — just digital.

How do you keep the human touch in the process?

Autonomy doesn't mean abandonment. Send a welcome message on WhatsApp the moment the guest confirms arrival (or on the pre-check-in link, or automatically 1 hour before arrival). Offer: "Enter with no line via QR Code in the guide, or come to the desk — coffee, inn story, and we answer questions, you choose".

Include a chat or WhatsApp number in the digital guide to answer late-night questions — receptionist sleeps, but the system responds. Check-in confirmation email also keeps contact. The idea: self check-in boosts efficiency, not hospitality.

How to test with just one room first?

Pick 1 room (ideally at reception or close by), 1 month test period, one week of bookings. Turn on pre-check-in only for future reservations in that room. Monitor: how many checked in via link vs. came to the desk? How many called WhatsApp with questions? How much time saved per guest? If it worked, roll out.

Don't launch without prepping your team: they need to know how to react when someone arrives without passing reception. Leave clear instructions in the system on how to confirm arrival and where to find a guest if needed.

When is self check-in NOT a good idea?

Don't use if: your guests are mostly over 65 with no app/link comfort; your inn is in poor 4G signal area (mountain, far from tower); you don't have active chat/WhatsApp backup; local regulations in your city require a receptionist present. And for late-night check-in in unsafe areas — receptionist presence is safety, not red tape.
